This policy explains how AA2 Ltd handles personal data collected through this website and our dealings with you. It is written to meet our obligations under the UK GDPR and the Data Protection Act 2018.

What data we collect
We keep data collection to what we actually need. In practice that means:
When you contact us
If you fill in a form on this site or email us, we collect the details you choose to give us. That is usually your name, your email address, your company, and whatever you write in your message. If you include a phone number, we hold that too.
When you book a call
We use a third-party booking provider to schedule calls. When you book, that provider collects the details you enter, such as your name, email address, the time you choose and any notes you add. Those details are shared with us so we can prepare for and attend the call.
When you browse the site
We collect basic, privacy-respecting analytics about how the site is used, for example which pages are viewed and roughly where visitors come from. Where this relies on non-essential cookies, we ask for your consent first. You can read more in our Cookie Policy.
We do not ask for special category data (such as health, ethnicity or political views), and we would prefer you did not send it to us in a message.
Why we use it, and our lawful basis
Under UK GDPR we have to have a lawful basis for every use of your data. Ours are straightforward.
- To respond to enquiries and provide our services. Lawful basis: our legitimate interests in answering people who contact us and running our business, and, where you are or become a client, performance of a contract with you.
- To schedule and attend calls you book. Lawful basis: our legitimate interests in meeting people who have asked to speak with us, and taking steps at your request before any agreement.
- To understand and improve how the site performs. Lawful basis: your consent for any non-essential analytics cookies, which you can withdraw at any time.
- To meet our legal and accounting obligations. Lawful basis: compliance with a legal obligation.
Where we rely on legitimate interests, we have considered your rights and do not believe our use of your data overrides them. You can object to this at any time, as set out below.
Who we share it with
We do not sell your data, and we never have. We do use a small number of trusted suppliers who process data on our behalf, under contract and only on our instructions. These are:
- Our website hosting provider, who stores the site and the data submitted through it.
- Our booking provider, who runs the calendar widget used to schedule calls.
- Our email and productivity provider, through which we receive and reply to your messages.
We may also share data where the law requires it, for example with HMRC or another authority, or where it is necessary to take or defend a legal claim.
Some of these providers may process data outside the UK. Where they do, we rely on appropriate safeguards such as adequacy decisions or standard contractual clauses so your data stays protected. How long we keep it
We keep personal data only for as long as we have a reason to.
- Enquiries that do not become clients are kept for up to 24 months, then deleted, so we can pick up a conversation if you come back to us. [TO CONFIRM]
- Client records are kept for the duration of our work together and for a period afterwards to meet legal, accounting and tax obligations, typically at least six years. [TO CONFIRM]
- Analytics data is retained for a limited period in line with our analytics settings, then aggregated or removed.
When data is no longer needed, we delete it securely or anonymise it so it can no longer identify you.
How we keep it safe
We use appropriate technical and organisational measures to protect your data, including access controls and reputable suppliers who are themselves contractually obliged to keep it secure. No system is ever completely free of risk, but we take the safety of your information seriously.
Your rights
What you can ask us to do
Under UK data protection law you have a set of rights over your personal data. You can use any of them by emailing us, and we will not charge you for doing so in normal circumstances.
Access
Ask for a copy of the personal data we hold about you, and information about how we use it.
Rectification
Ask us to correct data that is wrong or incomplete.
Erasure
Ask us to delete your data where there is no good reason for us to keep holding it.
Objection
Object to us using your data where we rely on legitimate interests, including for any direct marketing.
Restriction
Ask us to pause our use of your data while a query about it is sorted out.
Portability
Ask to receive certain data in a portable format, or have it sent to another provider where that applies.
Where our use of your data relies on consent, you can also withdraw that consent at any time. To exercise any of these rights, email info@aa2.co.uk. We may need to confirm your identity first, and we will respond within one month.
Cookies

Complaints
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection.
